The role

This is a new role which provides an opportunity for someone to support the work of the Client Accounting and Property Management Team’s. The primary responsibility of this role will be to provide administrative support to Cluttons’ property management accounting platform TRAMPS and its web interface Mojo. It is anticipated that these responsibilities will take up around 70% of the role.

The role will also offer the opportunity to develop knowledge of a wide range of systems used in the property industry, from property management, through to residential agency, valuations and development management.

The third aspect of the role is to support the Head of Client Accounting to provide a reliable data and analytics service to the business and its clients. There is scope for the right candidate to develop their skills using a range of data analytics and visualisation tools.

You will be supported in your role by an internal IT function and Business Systems function, a range of well-established and trusted outsourced providers, and a senior management team that appreciates the role technology plays in creating value for the business.

Responsibilities

  • TRAMPS and Mojo database administration
  • Day-to-day administrative support for TRAMPS/Mojo including database integrity checks, and internal client support.
  • Track, monitor and close all TRAMPS, MOJO and Filestore related actions / issues internally and with software providers.
  • Working closely with property management teams and client accounts to optimise user experience and reporting from TRAMPS/Mojo.
  • Support and contribute to the update and continuous improvement of internal process, procedures and reporting.
  • Documenting and updating both current and new processes and procedures for TRAMPS/Mojo
  • Managing content and promotion of our TRAMPS User SharePoint site.
  • Provide support to Head of Client Accounting and Head of Business Systems to deliver internal and client facing projects.
  • Liaising with Application suppliers to report and track issues/bugs/queries.
  • Maintenance and upkeep of TRAMPS data, checking integrity of the data being entered and co-ordinating with stakeholders for updates.
  • Organise and manage UAT of new releases of TRAMPS/Mojo releases.
  • On/off boarding off Users and management of roles and responsibilities with the TRAMPS/Mojo Apps.
  • Administrative support for document scanning system.
  • Support onboarding large new instructions.

Business systems data and other business systems

  • Supporting the head of business systems and data and the IT operations team, build and maintain professional relationships with the ‘business owners’ of the business systems in use at Cluttons and develop an understanding of how their systems support their fee-earning activities.
  • With support from head of business systems and data and the IT operations team to:
  • Provide support to all business units to maintain their data across all internal business systems, ensuring that data input processes are consistent and will provide high quality outputs.
  • Work with key staff within the business to help them create and provide metrics and data to analyse teams’ performance, income streams, activity, and effectiveness.
  • Support external client data and visualisation projects. Create relevant and engaging data and reporting visualisations.
  • Champion the use of data and analytics, enhancing internal and external client experience and reporting capabilities.
  • Maintain and Manage output of data from TRAMPS into our Data Warehouse

Requirements

  • Experience of working with the TRAMPS property management system as a Client Accountant, administrator or equivalent – with demonstrable knowledge of the system.
  • Demonstrable knowledge of property management and client accounting standards, practices and regulations.
  • Self-motivated with a willingness to learn and adapt to any new change or situation. Proactive personality with a can-do attitude.
  • Ability to process and handle multiple requests and prioritise accordingly.
  • High level of competence with Excel.
  • Evidence of the application of excellent written, oral, presentational and communication skills.

Desirable experience and qualifications

  • Exposure to or basic level of understanding of SQL.
  • Experience using PowerBI and other data visualisation tools.
