THE ROLE

Cluttons is currently looking to recruit a Service charge accountant to be based in Reading or London. The role works as part of the accounts team but with a strong link to the property management team, managing the end-to-end service charge process on a portfolio made up of residential, commercial and mixed-use properties.

KEY DELIVERABLES

  • Manage the end-to-end service charge process for residential, commercial and mixed-use properties
  • Ensure all year-end service charge reconciliations are completed within the 4-month RICS deadline
  • Responsible for billing all balancing charges/credits to tenants
  • Responsible for managing and maintaining the service charge control tracker
  • Lead on all internal service charge calls with the property and facility managers
  • Ensure all service charge budgets are loaded to the property management system, TRAMPS, at least 6 weeks prior to the year end date
  • Manage the transitions in/out process for all purchases, sales, and loss of management
  • Produce cash reconciliations for all service charge properties
  • Main point of contact for the auditors on all service charge queries
  • Ensure section 20B forms are submitted on time to the residential tenants
  • Liaise with the relevant Property Managers on the portfolio, acting on and providing information in a timely manner
  • Attend meetings with clients when required and work with the clients to understand their needs, interpret their demands and respond as appropriate
  • Calculation and compilation of completion statements, rent review calculations and interest rates applicable
  • Review of property expenditure regularly and agreeing correctness with Property Manager or Site Manager and action the necessary amendments
  • Completion of annual and quarterly service charge reconciliations complete with balance sheet/cash analysis and extended trial balance
  • Six monthly service charge actual expenditure to budgeted reporting, detailing any variances and reporting to clients/tenants
  • Review, recommendations & posting of prepayments and accruals at the service charge year end

Requirements

Essential qualifications

  • Minimum GCSE level including maths and English
  • AAT or equivalent (desirable)

Essential experience

  • Comprehensive and demonstrable service charge accounting experience
  • Experience working with TRAMPS property management system would be preferred but not essential
  • Knowledge of how to close year ends and demand balancing service charges
  • Ability to reconcile service charges and prepare service charge cash reconciliations
  • Strong written and verbal communications and interpersonal skills
  • Understanding of general VAT accounting laws and requirements
  • Understanding of the application of VAT in commercial property
  • Advanced excel skills
